Why “Under Review” Is Your Most Dangerous Intake Status [035]  Why “Under Review” Is Your Most Dangerous Intake Status [035]

The leads marked “Lost” aren’t necessarily the ones you should be most worried about.

They’re already gone.

The more dangerous leads may be the ones sitting inside your CRM that appear to be perfectly fine.

Gary saw this firsthand at a recent legal conference.

A law firm owner asked Gary to take a quick look at his CRM. Normally, there isn’t much Gary can diagnose by looking at someone’s laptop for two minutes.

But this time, there was.

The firm—averaging more than 200 signed cases per month—had roughly 60 leads sitting “Under Review.”

Some had been sitting there for more than two weeks.

Gary’s reaction?

What are we doing here? Why aren’t we being decisive?

“Under Review” Isn’t Necessarily Safe

The firm’s process required potentially qualified leads to be placed in “Under Review” until another attorney gave Intake permission to qualify and sign them.

On the surface, that might look like a process.

But every additional step creates the potential for delay.

And in Intake, delay creates risk.

A potentially qualified lead sitting in your CRM isn’t patiently waiting for your internal process to catch up.

They’re getting colder.

They may be speaking with other firms.

And every day without movement makes it harder to maintain momentum.

Every Lead Needs an Owner

One of the simplest questions a firm can ask about any active lead is:

Who owns what happens next?

Every lead needs clear ownership and a defined next step.

Someone should know:
🔹 What needs to happen next
🔹 Who is responsible for making it happen
🔹 When it needs to happen

Without those answers, leads sit.

And when leads sit, momentum dies.

Don’t Wait for “Lost”

One of the biggest mistakes firms make is waiting until the final outcome appears in the CRM before reviewing what happened.

By the time a lead is officially marked “Lost”, your opportunity to change the outcome may already be gone.

Instead, build a process that identifies the warning signs earlier.

Which leads haven’t moved?
Which are waiting for decisions?
Which don’t have clear next steps?
Which have been sitting in the same status longer than they should?

Those are the leads that deserve attention now.

Manage What’s About to Happen

Great intake management isn’t only about measuring what already happened.

How many leads came in?
How many signed?
How many were lost?

Those numbers matter.

But they tell you about the past.

The best intake firms also look forward.

They identify leads at risk.
They find bottlenecks before opportunities disappear.
They create clear ownership.

And they act while there’s still time to influence the outcome.

Because the best intake firms aren’t just managing what happened.

They’re managing what’s about to happen.
